Event Supervisor (Part-Time, As Needed)

$25-30/hr. This position is not eligible for benefits, other than those mandated by law.
Anticipated Schedule:
Variable, 10-30 hours per month beginning in September 2025 for training prior to Brannan Center’s public opening in October. This part-time position has variable hours from week to week, as event schedules vary and may include daytime, evening, and weekend events. Call times are no earlier than 6am and shifts end no later than midnight.

ABOUT BRANNAN CENTER

Brannan Center is a new, non-profit community space and performing arts venue currently under  construction in Calistoga, the northernmost town of the Napa Valley. The mission of Brannan Center is to empower the greater UpValley community with opportunities to experience community programming and performing arts that celebrate culture and promote vitality in our region.

With a scheduled opening in October 2025, Brannan Center will be a contemporary, multipurpose building designed be a gathering place and home to many community groups who do not have adequate facilities for meetings and activities, a home for arts groups throughout the Napa Valley, and a destination for private events such as weddings, quinceañeras, and parties.

In addition to serving as a community center and special event venue, Brannan Center will also  present diverse, multidisciplinary arts performances, and produce (or co-produce through  partnerships with other organizations) enrichment programs such as classes, workshops, and  camps for everyone from children to seniors.

Brannan Center's facility – a restored and renovated 150-year-old church – comprises two  performance halls, three flexible spaces for meetings, classes, workshops, and conferences, a demonstration kitchen, and an outdoor terrace.

POSITION SUMMARY

Brannan Center’s Event Supervisors are the lead onsite venue representatives who serve as the client liaison(s) during special events such as performances, weddings, private banquets and celebrations, meetings, classes, conferences, lectures, and workshops. The Event Supervisor is responsible for representing the venue and providing on-site management to event rental clients and attendees of Brannan Center sponsored programs in a highly professional manner. During events, Event Supervisors provide excellent customer service, enforce venue policies and procedures, ensure the safety of all guests, and are responsible for the security of the building. Event Supervisors must have experience managing events for a high-quality venue; excellent communication skills, familiarity with the logistics associated with meeting and event planning, box office operations, catering, and basic operating knowledge of audio-visual equipment.

ESSENTIAL FUNCTIONS

Events Supervision

  • Serves as the primary on-site liaison to clients throughout events
  • Ensures the facility and equipment are secure, clean, safe, and in good working condition
  • Enforces the terms and policies outlined in client rental agreements
  • Oversees contract security personnel during events
  • Coordinates event timelines with A/V Technicians and other event personnel to ensure timely setup and execution
  • Supervises the duties of other event personnel while onsite (when applicable)
  • Assists with setup and breakdown of event furniture and equipment as needed
  • Acts as the main point of contact for all vendors, caterers, and contractors during the event
  • Supports the Events Manager in evaluating and improving event operations
  • Prepares detailed, clearly written post-event reports
  • Submits condition reports on facility and equipment as required
  • Maintains up-to-date knowledge of A/V systems and event-related inventory
  • Provides reception coverage when not actively supervising events
  • Completes administrative duties and special projects assigned by supervisor
  • Assists with organizing and tracking inventory of event supplies and equipment
  • Other event duties, as assigned

Box Office Supervision

  • Supervise box office staff during events, ensuring smooth, timely, and professional ticketing operations
  • Provide on-site leadership, resolving customer service issues and escalating concerns when necessary
  • Ensure accurate cash handling, credit card transactions, and ticket reconciliations in accordance with venue policies
  • Support box office staff with real-time troubleshooting of ticketing software, scanners, and other equipment
  • Other Box Office Supervision duties, as assigned

Other Duties

  • Performs or assists with evacuation procedures during building emergencies
  • Secures any incoming checks and cash received while on duty
  • Communicates with Brannan Center staff and other key stakeholders in a timely fashion.
  • Participates in staff meetings and organizational planning as assigned
  • Other duties as assigned

QUALIFICATIONS

The ideal candidate will possess the following skills and characteristics:  

  • Ability to work a flexible schedule that could include early mornings, nights, and weekends
  • Minimum three years of experience as on-site event staff for special events, weddings, meetings, and conferences
  • Experience in a performing arts or ticketed event setting
  • Familiarity with audio-visual technology, including connections between laptops and digital

projectors and basic sound reinforcement is a plus

  • Excellent customer service and communication skills
  • Strong organizational skills with great attention to detail
  • Experience with crisis management and ability to remain calm under pressure
  • Familiarity with catering and event-related food and beverage service
  • Able to troubleshoot and make sound independent decisions
  • Proactive approach to solving problems and creating solutions
  • Demonstrates support and enthusiasm for Brannan Center’s mission to clients, public and staff
  • Comfortable with Mac computers, Microsoft Office, Internet and email

Preferred Qualifications

  • Significant on-site experience managing weddings and related social events, with a strong understanding of their unique timelines, vendor coordination needs, and client expectations
  • Box office experience
  • Familiarity with the Napa Valley and the local events landscape, including knowledge of vendors and caterers
  • Strong preference for candidates who are bilingual in English and Spanish
  • A sense of humor. Preferably dry

Certifications

*If not already certified, Brannan Center will facilitate the certification process upon commencement of employment

  • First Aid/CPR
  • RBS (Responsible Beverage Service)
  • CA Food Handler

Physical Requirements

  • Motor coordination and the ability to lift or move up to 40 lbs.
  • Ability to sit and stand, sometimes for extended periods.
  • Ability to work in indoor and outdoor environments.
